AUTORESPONDER MANUAL Step One: Signing in
Step Two: Adding a Responder Sequence (i.e. setting up a data base to send emails to) Under the Responder Sequences title click on Add. Name box - type the name of a responder sequence (i.e. the name of the data base) Note: your responders do not have to be in a particular order as you can reorganise them later. Description - write a short explanation about this particular data base. Header Box - type whatever you want to appear at the very top of each page in this responder sequence. Note: you do not have to put one in. Footer box - type whatever you want to appear at the very bottom of each email in this responder sequence. Note: you do not have to put one in. Days before 1st email is sent - Type the number of days you want to go past before the first email/letter/newsletter is sent to someone who has joined this data base. Days between subsequent emails - Type the number of days you wish to pass between each email/letter/newsletter in the sequence. From Name – This will appear in the receiving person's mailbox and as it says, it will indicate who the email is from. From Address – this is the sending email address that people receiving the email will see and they will reply to this address. Next Responder – when this sequence of emails is finished (after hours, days, months, etc) and if you would like to automatically start sending all the completed recipients (of this data base) emails from another sequence; then choose which new sequence you wish them to receive. Step Three: Adding Individual Members Under the Individual Members title, click on Add (to add members in a bulk group see step five). First Name – Type in the person's first name. Last Name – Type in the person's last name. Email – Type the person's whole email address. Responder to subscribe this member to – click the box next to the name of the responder/s you want this member to get emails from. Once you have selected all the responders you wish to send to this person, click Add. Step Four: Adding Emails to Responder Sequences Under the Email title, click Add Responder – Choose the responder that you wish to add an email to. Subject – add a subject heading for this particular email. Message – add the main content of the email. File – gives you the option of attaching a file to the email (eg a pdf ,Word or Excel file to enable people to view them). Once you have added all the information for this email, click the Add button. Step Five: "Ordering" Responder Emails (Placing emails in the sequence your wish) Go to the Other Tasks section Click on Order Responder Email, Choose the responder that you would like to reorder Number the emails in the order you wish them to go out in Click Order Step Six: Broadcasts If you would like to send the same email to all the people in your data base (this includes all subscribers from every responder you have set up) Go to the Other Tasks section Click on Broadcast Message to Subscribers Write your subject and the content for the email Click Broadcast Step Seven: Editing To Edit your Responder sequenceClick on Edit under Responder Sequence title Select the Responder you wish to edit Make the desired changes Click Edit To Edit your Individual membersClick on Edit under Individual Members title Select the Subscriber you wish to edit Make the desired changes Click Edit To Edit your EmailsClick on Edit under Emails title Select the Responder you wish to edit Select the email you wish to change Make the desired changes Click Edit Step Eight: Finding a Name or Email To Find a Name (for Editing or Deleting)(When there are large numbers of names or emails in your data base) Click on Emails title or Individual Members title (whatever you want) Click on Edit or Delete Click on the arrow of the appropriate box Press the respective key board "key" that is the first letter of the name you want The program will automatically take you to the alphabet section that you want Select the name or email that you want Edit or Delete as you see fit
